“Design a scalable, role-based admin panel that enables the ABCoin operations team to moderate content, manage users, monitor financial flows, and extract business intelligence, etc. without requiring engineering support for our day-to-day tasks.”

- Patrick H. (Founder) & ABCoin Team

ABCoin Panel is a focused CRM-style admin panel to operate, moderate, and analyse the ABCoin platform — enabling trust, faster moderation, clear revenue tracking, and easy user management across community, marketplace, voting and gold-order flows.

Problem Statement

The operations team stated that they are relying on direct database queries with an outdated template-based dashboard and spreadsheet exports to manage platform activity. There was no unified interface to handle user approvals, flag reported content, track gold order fulfillment, or monitor daily revenue, critical tasks that required significant effort and time to accomplish.

Major Points Identified

  • Users’ approvals were handled via email threads and the backend, causing delays and compliance risks.

  • Gold orders data were managed in a spreadsheet with no tracking, no history, and no proper accountability

  • Reported content/users had no moderation workflow and it stayed live until a developer intervened

  • Revenue data required custom SQL queries that only the CTO/Head could run.

  • Voting questions couldn't be scheduled/published without a full deployment cycle

Discovery and Research for real-time scenarios

To understand exactly who'd be sitting behind this panel and what decisions they make daily, I interviewed 5-7 internal users/operation team who manage operations, community managers, customer support, finance, and general admin tasks.

Primary Needs

Key Frustrations

Approve/reject user accounts quickly

No KYC review queue or decision log, manual review process

Audit trail for financial events

Revenue data locked behind developer access/involvement

Moderate posts and manage voting

No bulk moderation, auto-flagging, or scheduling tools

Resolve tickets and read chat history

Tickets are spread across email and in-app messages.

Daily revenue reporting

Manual exports with no date-range filtering

Competitive Benchmarking

We audited similar platforms, such as a fintech back-office (Stripe Dashboard), a community moderation panel (Reddit Mod Tools), and a crypto exchange admin (referenced from public case studies). This helped us identify best practices for data-heavy tables, status filtering, and role-based access without overwhelming first-time admin users.

Product Strategy

Before touching the layout, I defined three design principles — each one directly address the given needs.

Principle

What It Means in Practice

Clarity over Density

Data-heavy screens are broken into tabbed views and filtered table states, with no scrolling through irrelevant information to find what matters.

Action-First Design

Every list view surfaces the most common action directly (approve, reject, resolve, remove) without requiring the user to open a inner page first.

Role-Scoped Access

A two-tier permission model ensures each team member sees exactly what their role requires — nothing more, nothing less.

Ideated Solutions

Based on research findings, we designed a master with role-based, web-first custom admin panel, a single command center consolidating every operational workflow into one coherent system.

We will structure the panel into approx. 10-12 operational modules and replacing specific manual processes with automations in some modules for faster and easy use for better productivity.

  • AI-powered dedicated KYC application flow providing application document review score for easy and one-click approve/reject, replacing an email-based manual data review process.

  • A segmented revenue dashboard breaking down six income streams with date-range filtering, replacing manual requests for SQL generations to view and export.

  • An AI content moderation workflow with automation of auto-reporting function for violations of rules in community and marketplace activities, replacing manual reviews.

  • A voting management tool with scheduling & live participation data, giving the community team full editorial control and response analysis in one place.

  • Provide dedicated modules for other features of user management, operational features, content, sub-admins, orders and debit cards, platform configuration, CMS, etc. as required.

Structured the Information Architecture

After completing the interviews, we mapped each operational workflow to a dedicated module. The panel was organized into 13 segmented menus in sidebar, each with logically grouped views.

Design System

Hi-Fi UI Design

  • For User management, a core part of an panel, I created a streamlined flow and layouts for effectively processing complex data, ensuring optimal user management and faster actions

  • Made an advanced analytics module for tracking the performances by all the metrics of core features, such as community, marketplace performance, voting engagement, and user cohort data.

  • To manage customer support, Made a support ticket queue with status filters (active, in progress, resolved) and a full chat thread viewer for quick communication.

  • Provided a complete CMS with onboarding flow (video, questions, form), legal docs, charges & rewards config, marketplace categories, and FAQs, etc., for complete editability with ease.

  • Added a dedicated order listing for gold orders with status filters (pending, processing, dispatched, delivered) and an order-level detail view to monitor and manage them.

  • Created the monthly voting questions scheduler with a multi-adding feature, and a historical archive with participation data for analysis of users’ responses.

Potential Outcomes and Impact

The panel was shipped to internal users. Two weeks of usage tracking told the story clearly.

Qualitative Feedback

  • Sub-admin roles let them onboard a part-time moderator without exposing any financial data

  • The CMS removed developer dependency for FAQs, onboarding content, and legal docs entirely

  • The voting scheduler let the Community Manager plan months of questions in a single session and analyze vote data in one place
